Accounts payable reports multiply easily and get read rarely. A package will produce a dozen and a finance team will act on two, which is not a criticism of anyone: most of them answer questions nobody is asking this month. For a business closing one set of books there are four reports worth producing every month, each answering a question somebody actually has, and a longer tail worth producing only when investigating something specific. This page is the four, what each answers, and an honest note on the ones that are usually noise, because a report nobody reads still costs the time it took to produce.
The aging, because it turns a balance into a decision
What you owe, split by how overdue it is. On the worked example on this site, $48,000 current, $21,000 at thirty days, $9,500 at sixty and $4,200 beyond is $82,700 owed, 42% of it overdue, with days payable outstanding of 30.26. Read monthly it shows whether the overdue share is moving, which is the number that responds to things you control.
The unapproved list at cut-off, because it predicts the close
Everything sitting unapproved as the month ends becomes an accrual or a surprise. Producing it deliberately, rather than discovering it, is the difference between an accrual you chose and one you found.
The reconciliation, and new suppliers added
The payables reconciliation is evidence the balance is real. The list of suppliers added this month is a small report with an outsized control value, because a fictitious supplier is one of the standard payables frauds and it is caught by somebody simply looking at the list.
Questions people ask about accounts payable reports
What about a cash requirement forecast?
Useful when cash is tight and noise when it is not. It belongs in the tail: produce it when the question is live rather than every month by default.
Should reports go to anyone outside finance?
The aging summary often should, because budget holders whose suppliers are unpaid usually want to know. Sending the detail rarely helps.
How do we stop reports accumulating?
Delete one every time you add one, or at least ask who read the last three. Reports are added easily and retired almost never.
